WRHA Board Meeting

12/10/2007

Bellevue Library

The meeting was called to order by President, Judy Caton at 5:35 p.m.
Board Members In Attendance: Judy, Lyell, Janet, Jeff, Jeanine, Darren, Cheryl & Caroline

Treasurer’s Report:

Judy provided a balance sheet, profit & loss statement for the year to date and a profit and loss statement for each show. After a review by each board member, Darren moved we accept the treasurer’s report as submitted, Cheryl seconded - Passed

Sponsorship Committee:

Dave McKim has been mentioned as a possible sponsorship chairperson for 2008 and or board member. Judy will contact him about this and if he agrees we should ask Cathy to help him get started with the sponsorship packets.

Newsletter:

Jeanine wants to sent out a newsletter ASAP with the 2008 show dates. Her plan is to put out a newsletter one month after each show.

Publications:

Tracy is still waiting for the October show results so she can complete her latest article for “The Reiner”.

Awards:

Year Ends

Cheryl has once again graciously agreed to donate pictures for 11 first place year end awards for 2007 (the 9 club classes and the 2 youth classes). Thanks Cheryl! We also discussed possible awards for 2nd and 3rd place. Tentatively, we’ve agreed on coolers for 2nd and director’s chairs for 3rd (embroidered). Janet will talk to Sue about getting these awards. We’ll also need to buy pictures for the remaining first place awards not included in the 11 that Cheryl is donating.

After a brief discussion of the budget for year end awards, Darren moved that we budget the same amount this year as we did last year. Lyell seconded - Passed.

Award Budget 2007 for 20 classes with awards to 3rd in each: $1800 for the 9 remaining first place awards (11 already donated by Cheryl) & $2200 for the awards to 3rd for a total award budget of $4000.

The awards presentation will be during dinner on Thursday night at the first Wenatchee show in April. We discussed ways of making the presentation a little more special by possibly having Bob do the announcing and having the winners come out in to the arena to get their prizes. Caroline will call Bob and ask him if he would be willing to do this.

Derby/Classic/Futurity Awards

Discussed the possibility of changing the awards for the derby, classic and futurity classes in 2008. We decided to keep the buckles and entertain other ideas for reserve. Darren will check on prices for Bob Berg knives as possible awards.

Advisory Committee:

Judy asked that the Board review the new proposed by-laws and provide her with feedback.

Show Committee:

Judy has re-submitted our NRHA membership and will contact Melanie at NRHA about exactly what is needed to maintain our affiliate status.

The Monroe show is in need of a manager, so Janet has agreed to act in that capacity with help from Caroline and Jeff. Lyell will take care of the Monroe contract. Lyell will also contact Ron Coakley to see how he handled the baled shavings at the QH shows.

WRHA will provide 1 bale of shavings at the Monroe show. Monroe fairground fees have gone up about $2000 over last year, so stall fees will have to be increased. After much discussion, Cheryl moved that we increase the stall fee to $125 (includes 1 bale of shavings) for Monroe. Lyell seconded - Passed

Lyell went over the Appleatchee contract for 2008. Here are the highlights: We will have the use of the Sparks Arena or outdoor warm-up (one or the other depending on the weather), Appleatchee will provide 1 bale of shavings for each stall and drags will be done at our request indoors and out, but not more than once an hour. Lyell will try and negotiate a contract for the full year. We will charge $125 for stalls and continue to provide shavings.

We all missed the barbecue in Wenatchee this fall, so we will try and get someone to coordinate that event and have some sort of catered dinner at both Wenatchee shows in 2008. Jeanine will put an item in the newsletter and Darren knows someone he thinks might be interested in taking on the job.

The show committee also needs to create an outline or list of duties that need to be done at each show - Caroline

Raindancer Video is interested in videoing our shows this year, but due to their increasing costs, they’ll need to be reimbursed for their hotel and will also charge $5 per judged run. They will have review TVs set up at the out gate on an 8-10 minute time delay that anyone can watch after the run is over. In the off chance that someone was unable to watch their run, they could go to the trailer and ask to see it later, time permitting. Raindancer would like to do all the shows, but unless we can get a waiver on Monroe’s “dog rule”, they will not be able to do that show. Darren moved that we accept Raindancer’s proposal as stated above for the two Wenatchee shows only and add $5 to the judges fee in each class to cover the additional expense. Caroline seconded - passed

Cheryl would like to continue as show photographer in 2008 and asks that her hotel expenses be reimbursed. Caroline moved that we reimburse Cheryl for her hotel. Darren seconded - Passed

Jeff has agreed to be our show secretary for all shows in 2008.

We still need scribes for the 2008 shows. It is preferred that scribes either not be showing at all or be done showing for the weekend before they scribe. Jeanine will put a plea for scribes in the newsletter.

Checks will be available at each show so we can pay bills during or immediately after the show to the extent possible.

OLD BUSINESS

Six people have not received their reserve awards for 2007’s featured classes. Order the remaining saddle pads for 2007 reserve awards - Judy

Lyell asked for a copy of our insurance policy. Janet will get one for him.

NEW BUSINESS

Elections were held at the Wenatchee show in October. Here is the current WRHA Board:

President, Judy Caton
Vice-President, Lyell Ernst
Treasurer, Jeff Lansidel
Secretary, Janet Hurlburt
Directors: Caroline Schaefer, Jeanine Kern, Cheryl James & Darren Stancik

Four appointed director positions remain open.

Judy will assemble the year end financial reports and hand them over to Cathy for audit. Cathy will turn them over to Jeff when her audit is complete.

Had a brief discussion about membership dues for 2008. Cascade Horseman will no longer give us a deal on subscriptions to our members, so that publication will no longer be provided to our membership. Lyell moved that we keep membership dues $35 in 2008, Jeff seconded - passed

Judy reports that NRHA has asked that the clubs solicit the members to see what their needs are and report back to NRHA. In the face of skepticism within the group about he sincerity of NRHA’s request, we decided not to discuss it at all. NRHA will do what they want regardless of members’ wishes.

We’ve been notified that the West Coast Reining Horse Assn. has scrapped their August show in Rancho Murieta. The Regional Affiliate Finals were supposed to be held at that August show, but the club elected to move the finals to their show in Rancho in October. Unfortunately, that show is run the same weekend as our Fall Spectacular Show in Wenatchee. Judy is drafting our official statement protesting this action before the Affiliate Committee final vote on December 12. We’ll ask that they either move their show to a different date or let WRHA host the Regional Affiliate Finals in October in Wenatchee.

We also discussed the possibility of having some sort of special event at some point during the year. A schooling show or low added money show (jackpot?) were a couple of ideas mentioned. Everyone should be alert for a facility where we could hold something like this and good dates to have it on.

Having no further business to discuss, the meeting was adjourned at 8:10 p.m.

Respectfully Submitted,
Janet Hurlburt
Secretary, WRHA
